RefWorks guide

Sorting references

Your references are sorted by date added but you can change this by cllcking on the Sorted by arrow to the right of the screen and change this to Date accessed, date published, author, title etc.

The references are in normal view but you can change this to full view or table view by clicking the arrow towards the top right of the screen. 

Editing references

Click on a reference to edit it. Click on the pencil icon and then click Save.
To delete a reference, click on the tick box on the left hand side and click on the bin symbol.

Creating folders

The references you import or create in RefWorks can be stored in folders. You can make as many folders as you wish. It is possible to save references in more than one folder. Folders are useful because otherwise your references will just appear in a long list and the more you have, the less easy they are to manage.

There are 2 ways to create a folder, Method 1:                                                                  RefWorks screen shoes empty folder. The name of the folder appears in the side navigation under My Folders and Add a folder.            

  • Click on the My Folders button on the left of the screen.
  • Click + Add a folder and type in the name of your new folder.                                                                                                      
  • Click on Save.
  • Your folders will appear in alphabetical order on the left of the screen.              

Method 2:                                                                                                                             

  • Select all or some references and click on the Folder icon near the top left of the screen,
  • Click + Create and type in the name of your folder.
  • Click on Save.

Creating a sub-folder

  • Click on My Folders and click  the Folder name on the right of the screen
  • Select Add Subfolder from the more options list
  • Type the subfolder name.
  • Click Save.

Your subfolder is displayed below the parent folder and is slightly indented. You can expand and collapse subfolders by clicking on the triangle to the left of the parent folder name.

Top Tip

You may wish to create some folders and import a few references into RefWorks and edit them and put them in folders as you do your research.

It may be more difficult to edit and manage large numbers of references.

Using RefWorks in a systematic review

You may wish to use RefWorks or a piece of software to assist you with the screening and reporting  process and deduplicating your results from a systematic review.

Sharing your references

RefWorks has a Sharing function which enables folders to be shared with others.

Click Sharing on the left hand side of the screen. Click  + Share a folder. Choose a folder from the drop down menu to share, type in the email addresses of the people you wish to share with and choose the level of access you wish them to have and click Done.
